These terms set out the basis on which you may use the Scirovia website and attend our conferences — covering registration and payment, cancellations, the content you submit, and the standards of conduct we ask everyone to uphold.

Acceptance of Terms

By accessing or using the Scirovia website, registering for one of our conferences, or submitting content to us, you agree to be bound by these Terms of Use and by our Privacy Policy.

If you do not agree with any part of these terms, please discontinue use of the site and our services.

Eligibility & Account Details

Our services are intended for researchers, academics, students and industry professionals aged 16 or over. You agree that the information you provide during registration or submission is accurate, current and complete, and that you will keep it up to date.

If you register on behalf of another person or an institution, you confirm you are authorised to share their details and to accept these terms on their behalf.

Registration, Fees & Payments

Conference registrations are subject to availability and to confirmation by us. A place is secured only once payment has been received in full, unless we have agreed otherwise in writing.

Prices shown are per delegate for the selected category and pricing phase (Early Bird, Regular or On-Spot). Fees exclude travel, visas, insurance and — unless explicitly stated in the package — accommodation.

  • Pricing phases close on the dates published on the relevant conference page; the applicable price is the one in effect when payment is completed.
  • Any bank charges, currency conversion costs or transaction fees are the responsibility of the payer.
  • Registration is personal to the named delegate and may not be resold.

Cancellations, Refunds & Substitutions

Cancellation requests must be submitted to us in writing. Refund eligibility depends on how far in advance of the event the request is received, and any processing fees or non-recoverable costs already incurred.

Delegate substitutions are usually permitted at no charge up to a reasonable period before the event — contact us with the replacement delegate's details.

If we cancel or reschedule an event, we will offer a transfer to the new date or a refund of the registration fee. We are not responsible for travel, accommodation or visa costs incurred by delegates.

Abstract Submission & Content Licence

Abstracts and presentation materials are reviewed by the scientific committee, whose decisions on acceptance, format and scheduling are final.

You retain ownership of the content you submit. By submitting, you grant Scirovia a non-exclusive, worldwide licence to reproduce, publish and display that content in the conference programme, proceedings, abstract books and related promotional materials.

You confirm that your submission is your own work, does not infringe third-party rights, and that you have obtained any consents required for the material it contains.

Code of Conduct

We are committed to providing a respectful, harassment-free environment for everyone. Delegates, speakers, sponsors and staff are expected to behave professionally at all conference sessions, social functions and online spaces.

Harassment, discrimination, intimidation or disruptive behaviour will not be tolerated. We may, at our discretion and without refund, decline or revoke attendance where conduct is unacceptable or where venue rules are breached.

Intellectual Property

All content on this site — including text, graphics, logos, layouts, programme materials and software — is owned by or licensed to Scirovia and is protected by intellectual property laws.

You may view and print material for personal, non-commercial use. Reproduction, redistribution, framing or commercial exploitation of any part of the site without our prior written permission is not permitted.

Recording, filming or photographing sessions for public distribution requires prior written consent from us and from the presenters concerned.

Third-Party Links & Services

Our site may link to third-party websites and rely on third-party services such as payment processors, hotels and venue partners. Those services are governed by their own terms and privacy policies.

We provide such links for convenience and do not endorse, control or accept responsibility for the content, availability or practices of third parties.

Disclaimers

The site and its content are provided on an "as is" and "as available" basis. While we take care to keep programme information accurate, speakers, sessions, timings and venues may change without notice.

Views expressed by speakers and authors are their own and do not necessarily reflect those of Scirovia. Nothing presented at our events constitutes medical, legal, financial or professional advice.

Limitation of Liability

To the fullest extent permitted by law, Scirovia is not liable for indirect, incidental, special or consequential losses — including lost profits, lost data, or travel and accommodation costs — arising from attendance at our events, use of this site, or reliance on information presented.

Nothing in these terms excludes or limits liability that cannot lawfully be excluded, such as liability for death or personal injury caused by negligence, or for fraud.

Indemnification

You agree to indemnify and hold Scirovia harmless from claims, damages, losses and reasonable costs arising out of your breach of these terms, your misuse of the site, or content you submit that infringes the rights of a third party.

Events Beyond Our Control

We are not liable for any failure or delay in performing our obligations where that failure results from circumstances beyond our reasonable control — including natural disasters, epidemics, government restrictions, strikes, civil unrest, or failures of transport or communications infrastructure.

Governing Law

These terms are governed by the laws applicable at the place of our registered establishment, and the courts of that jurisdiction shall have exclusive jurisdiction over any dispute, without prejudice to mandatory consumer protections available to you locally.

Changes to These Terms

We may revise these Terms of Use from time to time. The revision date at the top of this page shows when they were last changed, and continued use of the site after changes are posted constitutes acceptance of the revised terms.
